About Event Organisers

Event organisers are involved in the organisation of events from the conception through to postshow reporting:

  • researching markets and liasing with potential clients to identify event opportunities
  • producing detailed proposals and feasibility studies for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets)
  • choosing and booking a suitable venue or location
  • ensuring insurance, legal, health and safety obligations are complied with
  • co-ordinating venue management, caterers, stand designers, contractors and equipment hire
  • planning room layouts and the entertainment programme, scheduling seminars, workshops and demonstrations
  • identifying and securing speakers or special guests
  • organising facilities for car parking, traffic control, security, first aid, hospitality and press
  • co-ordinating staffing requirements and staff briefings
  • selling sponsorship and exhibition space to potential exhibitors and show partners
  • arranging accommodation deals for exhibitors and visitors
  • creating, implementing and monitoring marketing and PR plans;
  • liaising with clients and designers to create a brand for the event
  • writing press releases or briefs in order to gain maximum exposure for the event
  • liaising with newspapers, TV, radio and other media
  • organising the design and production of tickets, posters, show guides or catalogues and sales brochures
  • co-ordinating everything on the day of the event to ensure that all runs smoothly
  • handling client queries and troubleshooting exhibitor and visitor problems on the day
  • overseeing the dismantling and removal of the event, and clearing the venue
  • post-event evaluation (including data entry and survey analysis and producing reports for event stakeholders)
